Job Description

PURPOSE OF FUNCTION

The overall aim of this position is to lead and support your HR and Centre Management Team to plan, direct and coordinate human resource management activities, to maximize the strategic use of human resource and maintain functions such as employee compensation and benefits, recruitment, personnel policies and regulatory compliance for the Shopping Centre Management co-workers. Be creative, well-organized and able to establish in improving employer branding by developing creative strategies that will enable and advance the company’s employer brand strategies. Additionally, also to ensure administrative and information support for all members of the team, company policies and guidelines, functionality of our work environment and uninterrupted operations of the office.

ASSIGNMENT

HR Administrative

  • Responsible for maintaining Human Resource Information Systems (HRIS)
  • Assist in recruitment / new hire process, performs the basic function of the HR department, as well as employee relations, training and development, benefits, compensation, organizational development, and employment.
  • Assist with the administration of the day-to-day operations of the Human Resources functions and responsibilities.
  • Contributes to the creation and operational implementation of the local HR Action plans including HR policies rules guidelines and strategies and ensuring compliance to them.
  • Providing clerical and administrative support to Human Resources Manager
  • Coordinates implementation of HR practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and the recruitment and ongoing development of a superior workforce.
  • Prepare and submit HR related monthly reports (Compile Recruitment KPI and turnover report, Copier Machine Report, Sickness Hour Report).
  • Support Managers in managing co-worker disciplinary matters and ensuring a healthier and high performing workplace.
  • Contribute actively in various meetings, including internal and external meeting (eg: HR Network amongst Shopping Centre if any).

Employer branding

  • Improve and contribute to our employer branding by developing creative posting strategies for HR digital platforms that focus on our cultures and values.
  • Tell the Comfort Works stories - develop external messaging that will enable and advance the company’s employer brand strategies
  • Managing & improving company career pages on owned digital assets

Building Business Competence (Training)

  • Contribute towards an atmosphere where knowledge sharing, internal promotion throughout Retail Asia and high commitment to IKEA SEA results in an organisation that can attract, retains and develop talented co-worker.
  • Support, facilitate and document L&D activities and records including OJT.
  • Support and coordinate weekly co-workers meeting including minutes writing.

Leading for Performance

  • Support managers in Performance Evaluation and Development processes.
  • Actively contribute towards building IKEA tone of voice and culture at the workplace.
  • Support all functions in co-workers engagement survey, and ensure goals and actions are identified, communicated and followed up.
  • Reinforce and strengthen IKEA Southeast Asia culture in the organization.
  • Support and coordinate co-worker engagement program.

Miscellaneous

  • Support working efficiently and synergy/togetherness in our matrix organization.
  • Support administrative tasks to keep office conducive as a great place to work.
  • Any other assignments as required from time to time.

Qualifications

  • Minimum of 5 years of experience in HR function, especially recruitment, training and development, compensation and benefits.
  • Well versed in all local laws governing the Human Resources and workplace
  • Must have strong communication and interpersonal skills Must be able to share knowledge and learning.
  • Must have good networking skills Must be able to communicate and understand English
  • Ability to write, explain and communicate clearly and well. Witty, captivating storytelling abilities paired with great grammar
  • Must believe in leadership and self-development and have the ability to bring out the best in co-workers and to motivate and develop the co-workers.
  • Must have the ability to create an environment where the Ikano /IKEA values are a strong and living reality that embraces the diversity of co-workers and visitors
  • Strong in collaboration, having a track-record working hand-in-hand with the management team
  • Pro-active & Agile performance. Decision making and adaptive to chances. Always practice can-do attitude and good problem-solving skills are preferred
