POSITION SUMMARY

The Senior/ Digital Asset Coordinator will play a crucial role in supporting internal and external customers with efficient digital asset management and coordination in the Brand Operating System (BOS).

This role works closely with a diverse group of users on assembling, publishing, and managing digital marketing assets in BOS for all Marketing Operations business partnerships. Ensuring compliance of BOS governance asset usage. Provides exceptional customer service, mitigates risks, and addresses challenges quickly and effectively. The Senior/ Digital Asset Coordinator will provide key inputs to future enhancements for workflows and tools that leverage continuous improvement processes.

Our BOS customers are Marketers, Cross-functional Teams, and Agency Partners around the globe.

JOB RESPONSIBILITIES

• Utilize BOS digital asset management platforms to manage files, workflows, and other digital assets.
• Prioritize BOS user multimedia asset and workflow requests.
• Assist internal and external customers with BOS asset retrieval, uploads, storage, version control, metadata tagging, and archival.
• Assist users on BOS Project Workflows related to asset tasks – this includes one-on-one coaching, creation of new upload tasks, troubleshooting blockers to support project timelines, and ensuring that processes and automation are streamlined where possible.
• Maintain detailed status documentation on user requests & deliverables.
• Responsible for effective, timely communication and updates with all customers.
• Manage customer lead times on assets and project workflow deliverables.
• Interface with Business & BPT to qualify new or revised business requirements.
• Manage project collaboration requests, including escalations to our Graphics Shared Service Team (GrSS).
• Maintain accurate records and documentation of user access permissions and profile setups to ensure compliance with company standards.
• Manage BOS customer access and profile issues preventing BOS access.
• Conduct BOS health audits of user access permissions and profile setups to ensure compliance with company standards.
• Collaborate with the Marketing Operations BOS team to identify trending user challenges and opportunities for process improvement.

QUALIFICATIONS / REQUIREMENTS

• 2 plus years of proven experience in digital asset coordination or a related field, preferably within a media agency or marketing environment.
• Strong customer service skills with a passion for providing exceptional support to clients and external teams.
• Demonstrated success in participating in cross-functional teams and influencing outcomes.
• Proficiency in digital asset management tools and software platforms.
• Strong communication skills, both verbal and written.
• Proven ability to work independently and collaboratively in a remote work environment.
• Flexibility to accommodate occasional off-hours support as needed.
• Consistency in tracking activity and supporting outcomes.
• Must be extremely detail-oriented, with the ability to multitask, effectively coordinate changing priorities, and handle tight deadlines.
• Must thrive in an intense, fast-paced, deadline-oriented environment.
• Familiarity with common digital asset types: CVS, PDF, PNG, PSD, JPG, PDF, MP4, AVI, and MOV.
• Proficiency in Microsoft Office 365 products: Outlook, SharePoint, Excel, Word, PowerPoint.
• Basic understanding of Metadata and digital asset approval workflows.
