Project Department

Job Purpose

To ensure the effective control, organization, distribution, and maintenance of all project and company documents by implementing proper document control procedures, maintaining accurate records, and ensuring compliance with company policies, client requirements, and applicable ISO standards.

Key Responsibilities

• Manage and maintain all project documents, including drawings, technical submissions, contracts, reports, specifications, and correspondence, ensuring proper filing, version control, and distribution.
• Receive, register, track, and distribute incoming and outgoing documents to internal teams, clients, consultants, and subcontractors while ensuring timely submission and retrieval.
• Maintain document control registers and databases, ensuring all documentation complies with company procedures, client requirements, and ISO standards.
• Coordinate with project teams to ensure all required documents, approvals, and records are complete, accurate, and submitted within the required timelines.
• Archive completed project documents and maintain both electronic and hardcopy records for future reference and audit purposes.
• Support internal and external audits by preparing and providing controlled documents and records as required.
• Monitor document status, follow up on outstanding submissions, and generate periodic document control reports for management.
• Perform other administrative and document management duties assigned by the Management.

Requirements

QUALIFICATION AND EXPERIENCE

• Diploma or Bachelor’s Degree in Engineering, or a related field.
• Minimum 1–3 years of experience in document control or project administration (fresh graduates may be considered for junior positions).

KNOWLEDGE AND SKILLS REQUIRED

• Proficient in Microsoft Office (Word, Excel, Outlook) and document management systems.
• Good organizational, communication, and time management skills.
• Able to work independently and handle multiple projects simultaneously.
