Job Summary:
We are seeking a personable and highly organized Front Desk Receptionist / Administrative Assistant to join our physiotherapy center. In this role, you will be the first point of contact for our patients, managing front desk operations and a range of administrative tasks to ensure smooth daily operations and a positive patient experience.

Key Responsibilities:

• Greeting & Communication:
• Welcome patients and visitors with a friendly, professional demeanor.
• Answer incoming calls, emails, and inquiries regarding appointments, services, and billing information.
• Appointment Management:
• Schedule, confirm, and coordinate patient appointments using our scheduling system.
• Assist patients with rescheduling or cancellations as needed.
• Administrative Support:
• Maintain and update accurate patient records and files while ensuring confidentiality.
• Process billing, manage invoices, and handle payment transactions.
• Assist in preparing reports, data entry, and general office documentation.
• Office Coordination:
• Manage office supplies and maintain a clean, organized reception area.
• Liaise with physiotherapists and other staff to support clinic operations.
• Customer Service:
• Address patient concerns and provide information about the center’s services.
• Ensure a high standard of service that enhances patient satisfaction and retention.

Qualifications and Requirements:

• High school diploma or equivalent; additional certification or coursework in administration, customer service, or healthcare is an asset.
• Prior experience in a receptionist or administrative role, preferably within a healthcare or clinical setting.
• Proficient in using MS Office (Word, Excel, Outlook) and familiar with scheduling software.
• Excellent verbal and written communication skills.
• Strong organizational skills and the ability to multitask in a fast-paced environment.
• A friendly, approachable personality with a commitment to providing exceptional customer service.
