Job Purpose

This position is responsible in managing a portfolio of clients’ corporate secretarial matters.

Key Responsibilities

• Provide company secretarial services to a range of client companies.
• Ensures timely and quality deliverables of own portfolio.
• To advise clients on matters related to annual compliance, specific and ad hoc tasks to ensure service delivered to clients are up to certain standards with supervision.
• Update and maintain as well as take custody (if applicable) of all relevant statutory records, books, forms and documents by ensuring all documents are updated and being stored in View Point for data integrity.
• Ensures data integrity in Viewpoints database and complies to set conventions.
• Ensure progress of all tasks is updated in the individual monitoring list.
• Handling of applications, registrations and filings with various government agencies on behalf of clients.
• Handles client issues in a pro-active manner, pre-empts situations and suggest alternative solutions on all tasks assumed.
• Assists Manager in planning and implementing initiatives for team.
• Undertake special assignments, ad-hoc functions and related duties assigned from time-to-time.
• Works with Manager on giving timely and quality advice on governance matters, licensing, Labuan legislations and guidelines.
• Handling of enquiries for standard set ups and preparing proposal on new business / new services for corporate, private clients, trade support, payroll, accounting and all other business lines.
• Cross-selling of Labuan services and services of other jurisdictions and TMF Group to existing clients and intermediaries
• Client servicing, meaning attending and meeting clients’ requests; managing client expectations; and identifying issues and highlighting them to clients.
• Review accuracy and completeness of invoices.
• Collection of debts
• KYC during on-boarding of new clients and during the span where TMF is the service provider, including identifying STRs, reviewing transactions (especially if TMF staff are appointed nominees); review of CAFC.
• FATCA and CRS reporting (if and where applicable)
• Attending to department / local office reporting and/or data collation
• Providing guidance/training to the team when required.

Key Requirements

• Possess ICSA Professional Certificate, Diploma, Bachelor’s Degree in Business Studies / Administration/ Management Commerce, Law or equivalent are encouraged to apply.
• 3 to 5 years of relevant experience, preferably in professional firms/ private limited/ public listed companies’ experience.
• Must be familiar with Companies Act.
• Good organizational skills in relation to documentation and work processes, Resourceful and has ability to problem solve or propose alternative solutions.
• Possesses a strong sense of responsibility, positive disposition, initiative, high integrity and able to work under strict deadlines.
• Good interpersonal skills, team player, yet able to work independently in a fast-paced environment.
• Excellent command of spoken and written English skills.
