Job Summary:
The Purchaser is responsible for sourcing, negotiating, and procuring goods and services required for the company’s operations. This includes maintaining the right inventory levels, ensuring cost efficiency, and working closely with suppliers and internal departments to support smooth business operations.
Key Responsibilities:
Sourcing & Procurement
Source suppliers and maintain a list of approved vendors.
Obtain and compare quotations to ensure competitive pricing.
Issue Purchase Orders (PO) based on approved requisitions.
Negotiate price, terms, and delivery timelines with vendors.
Inventory Management
Monitor stock levels and ensure timely replenishment of supplies.
Coordinate with storekeepers/outlet PICs to verify stock movement.
Avoid overstocking or understocking of goods.
Documentation & System Updates
Ensure all purchases are documented accurately in the system.
Maintain records of purchases, pricing, delivery, and inventory.
Ensure proper filing of supplier invoices, PO, and delivery orders.
Vendor Management
Evaluate vendor performance on pricing, delivery, and quality.
Resolve any issues related to supply delays, defective goods, or invoice discrepancies.
Develop long-term relationships with reliable suppliers.
Compliance & Internal Coordination
Adhere to company procurement policies and procedures.
Work closely with the Accounts department for payment processing.
Communicate with the F&B, Housekeeping, Maintenance, and other departments to understand their needs.
Cost Control & Budget Monitoring
Assist in cost-saving initiatives without compromising quality.
Monitor procurement budgets and report variances to management.
Requirements:
Proven experience in purchasing, procurement, or supply chain (hospitality/F&B experience is a plus).
Knowledge of procurement software and inventory systems.
Strong negotiation and communication skills.
High attention to detail and ability to multitask.
Proficient in Microsoft Excel and Word.
Able to work independently and under pressure
Educational Qualifications:
Diploma or Degree in Business Administration, Supply Chain Management, or related field.
