Job Overview
We are looking for a proactive, detail-oriented, and experienced Project manager / Executive Assistant to provide high-level administrative and operational support to our executive team. The ideal candidate will have a strong background in project management, preferably some experience in the coffee industry or sales, and the ability to handle a diverse range of tasks with professionalism and efficiency.
This role requires excellent English (written and spoken), fluency in Thai, and the flexibility to travel on short notice, including regular trips to Laos (up to several weeks per month) and potential travel to Japan, the UK, and other international locations.
Key Responsibilities
● Executive Support:
○ Organise meetings and manage correspondence.
○ Prepare, proofread, and edit high-level reports, presentations, and documentation with in-depth analysis.
● Project Management:
○ Oversee and manage key projects, ensuring timelines and deliverables are met
○ Coordinate with internal and external stakeholders to ensure smooth project execution.
○ Track and report on project progress, providing regular updates to the executive team.
● Industry Expertise:
○ Utilise knowledge of the coffee industry to support decision-making and project strategies.
○ Maintain awareness of trends and developments within the coffee sector.
○ Monitor the operations of the coffee farms being in close daily contact with the farm managers.
○ Initiate and execute strategies to enforce systematic improvements in the farm operations to keep track, monitor, and assess.
● Travel Coordination:
○ Arrange domestic and international travel, including flights, accommodations, and itineraries if needed.
○ Ensure smooth logistics for regular travel to Laos and other global destinations.
● Communication Support:
○ Act as a liaison amongst the executive team, employees and external consultants.
○ Draft and manage high-level communications with professionalism and discretion.
● Logistics and Operations:
○ Organise and coordinate events, meetings, and presentations.
○ Attend occasional industry trade shows and represent the company.
○ Support sales and marketing of coffee beans internationally.
○ Manage business plans, projections, expense reports and budget tracking.
● Language and Cultural Adaptability:
○ Communicate fluently in English (mandatory) and Thai.
○ Provide translation support when necessary and adapt to different cultural environments.
Skills and Qualifications
● Experience:
○ Minimum 5 years of experience as a project manager, a sales representative, or an executive assistant.
○ Experience in the coffee industry or related sectors is highly preferred.
● Education:
○ Bachelor’s Degree
● Languages:
○ Fluent English (written and spoken) is mandatory.
○ Fluency in Thai is required.
● Travel Flexibility:
○ Ability to travel on short notice, including regular trips to Laos (up to 3 weeks per month) and occasional international travel to Japan, the UK, and other destinations.
● Technical Skills:
○ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
● Soft Skills:
○ Exceptional organisational, time management, and problem-solving skills.
○ Deep sense of responsibility and proactive nature. Being able to set targets without instructions.
○ Strong written and verbal communication abilities.
○ Ability to work under pressure and manage multiple priorities.
○ Honesty and loyalty.
● Other Requirements:
○ High level of integrity and discretion in handling confidential information.
○ Proven ability to work independently and as part of a team.
